Who to Target
This campaign is designed to re-engage prospects and past clients who previously said "no." This may include people who went through your process but decided not to move forward, as well as past clients who chose not to renew.
How to Find Them
You can access this audience by exporting contacts from Calendly or reviewing your "Opportunities" tab.
How Many to Send To
Send the campaign to a minimum of 50 people. The larger and more targeted your audience, the more opportunities you create to reconnect with someone when the timing is right.
Campaign Structure
The campaign consists of three emails, sent once per month. The goal is to stay top of mind without being overly aggressive, creating an opportunity to restart the conversation when the prospect is ready.

Prepare your materials
- Open the email you want to send, with your signature and all templated content completed.
- Open a blank Word document.
- Have your contact spreadsheet ready with separate columns for First Name, Last Name, and Email Address.

Organize your contact list
- MailMerge can send up to 100 emails at a time.
- If you have more than 100 contacts, divide them into separate spreadsheet tabs, with no more than 100 contacts per tab.

Open Mailings in Word
- In the blank Word document, select Mailings from the top toolbar.

Add your email content
- Copy the email content and signature from your original email.
- Paste it into the Word document.
- Leave the subject line out for now.

Review your email
- Confirm that the formatting is correct.
- Make sure all templated sections are completed.
- Test any links included in your signature or email.

Connect your contact list
- Select Select Recipients, then Use an Existing List.
- Locate and select your contact spreadsheet.

Select the appropriate spreadsheet tab
- If you have fewer than 100 contacts, select Sheet 1.
- If you have multiple tabs, select the tab containing your first group of 100 contacts.
- You'll repeat this step for each additional group.

Insert a merge field
- Place your cursor where you want the recipient's name to appear.
- Remove the existing name placeholder.
- Select Insert Merge Field and choose First.
- This will automatically insert each recipient's first name into their individual email.

Preview the emails
- Select Preview Results from the top toolbar.
- Use the blue arrows to review different recipients and confirm that their information is appearing correctly.

Verify your recipient list
- Confirm that you're using the correct spreadsheet tab.
- If you have multiple tabs, make sure you're not sending the same group of contacts more than once.

Prepare to send
- Select Finish & Merge, then Send Email Messages.

Complete the email settings
- To: Select Email
- Subject: Enter your subject line
- Mail Format: Select HTML

Send the campaign
- Review the settings one final time.
- Select OK to send the emails.

Confirm delivery
- Open your email and go to your Sent folder.
- You should see the individual emails that were sent through MailMerge.

Send additional groups
- If you have more than 100 contacts, repeat the process for each remaining tab.
- When reconnecting your spreadsheet, select the next tab containing the next group of contacts.
